With it being the beginning of spring, I thought it would be a wonderful idea to share some tips on spring cleaning your HR Function. I have made a list of 5 tips that might help you with spring cleaning your HR Function.
🗒️Switch to paperless
Convert all paper files into digital files. Also consider streamlining the various excel spreadsheets that you use to store some of your HR information. Save this information into one centralized Human Resources Information System (HRIS). Storing information this way can literally clean up your office space.
📔Update your employee handbook
The employee handbook should be updated at least once a year to stay current and relevant. All company policies and procedures should be detailed in the book as well as the company vision and mission statement. When reviewing the information, it is important to ensure that the policies and procedures are in line with any laws that might have changed in the past year.
💼Job Description Updates
Ask employees to review their Job Descriptions together with their direct supervisors and note anything that needs to be updated.
📊Check Occupational Levels
With the Employment Equity manual and online reporting season having opened now in September, you can use this time to double check your occupational levels if they have been updated with the promotions that took place during the course of the year. Designated employers must submit their report annually by the 1st working day of October or by the 15th of January the following year in case of electronic reporting.
🗂️Clean out old files
In South Africa, employee records must be maintained as prescribed by revenue authorities. These records should be kept for 5 years from the date of last entry and must be available for inspection by SARS and UIF Officials.
